Privacy notice

Last updated: 11 August 2026

1. Who we are

HapiTech operates the HapiTech Report service. This notice describes how the service handles personal data. It is a draft, prepared for the alpha, and has not been reviewed by a solicitor.

2. What personal data we process

  • Account data: name, email address, role and (encrypted) passwords for each user of the service, created by an administrator in their company.
  • Inspection data: the records created during inspections, which can include photographs taken of equipment, signatures given as part of sign-off, and engineer notes. This data belongs to the inspection company.
  • Client data: the details of the companies you inspect for and their contacts, entered by you.
  • Technical data: server logs and rate-limiter counters used to keep the service secure.

3. How we use it

To run the service, to let you sign in securely, to produce and deliver inspection reports, and to keep the service and its users safe (including detection of account misuse). We do not sell personal data.

4. Who we share it with

Inspection reports and links are made available to the inspection company and, where the inspection company has enabled it for a client, to that client's designated contacts. We do not otherwise share personal data except where required by law.

5. How long we keep it

Account data is kept while the account is active. Inspection records are kept for as long as the inspection company keeps them in the service, and can be exported or deleted by that company. This draft does not yet set a deletion schedule; one will be defined before general availability.

6. Your rights

Under UK data protection law you have rights of access, correction, erasure, restriction and portability in respect of personal data relating to you. You can exercise them by contacting your company's administrator or HapiTech.
